Have questions about exhibiting at the Spring Clinical Meeting? Find answers to the most common ones below.
Each 10x10 booth includes 8' back drape and 3' side drape. Carpet, furniture, and utilities are not included and must be ordered via the Exhibitor Services Kit.
Note: The Plaza International Ballroom is carpeted.
Please carefully read the rules for your booth type, located in the Exhibitor Resources Center. Key regulations include:
- Maximum height: 8' (inline/corner booths)
- One display level only
- No hanging signs
Exhibitors receive an allotment of complimentary badges based on booth size and type:
- Welcome Reception Sponsorship & Premium Island Exhibit: Two Full Registrations
- Premium Island Exhibit Table: Two Full Registrations
- Inline Table Exhibit: One Full Registration
- Publisher's Table: One Full Registration
Additional exhibitor badges may be purchased through registration for $830. This includes access to sessions, on-demand recordings, and continuing education credits.
Shipping information will be available in the Exhibitor Resources Center.
- Move-In: Friday, April 9, 2:00 PM – 6:00 PM
- Final Prep: Saturday, April 10, 7:00 AM – 9:00 AM (booths must be set by 8:00 AM)
- Move-Out: Sunday, April 11, 4:30 PM – 7:30 PM
Exhibitors are reminded that it is against the AAPM Exhibit Regulations and Design Rules to move out any display equipment or materials before the published move-out times.
We strongly discourage setting up on Saturday morning, with the exception of final booth preparations. Exhibitors may access the show floor beginning at 7:00 AM on Saturday, April 10, to finish any final preparations. Booths must be set by 8:00 AM.
Exhibitors who need to work late for setup should email sarah@aapm.org. Exhibitors must remain working in their booths, as wandering in the exhibit hall is not permitted.
Book your hotel room through the official Spring Clinical Meeting housing link only. The Hyatt Regency Denver is the official meeting hotel. Please ignore outside solicitations for hotel bookings, as these are not affiliated with AAPM.
AAPM no longer offers a pre-registration list. Pre-registration lists for all events are included with the AAPM Yearly Sponsorship Package. Post-event lists are available after Attendee List Request forms are received.
Wi-Fi information will be available in the Exhibitor Resources Center. Check back closer to the meeting date for details.
The Hyatt Regency Denver offers both valet and self-parking. Please visit the hotel's website for current parking rates and availability.
