Exhibitor FAQs
Have questions about exhibiting at the Annual Meeting & Exhibition? Find answers to the most common ones below.
Each 10' x 10' booth will be supplied with the following: 8' high back wall drape, 3' high side-rail drape, and a 7" x 44" identification sign. No furnishings, carpet, or utilities are included in the cost of your booth. Information on ordering furnishings, carpet, floral, cleaning, or other accessories and services is included in the Exhibitor Services Kit.
Please note that all booths are required to have carpet and/or some form of alternate floor covering.
Maximum exhibit space heights vary by booth type. Please carefully read the rules for each booth type, found in the Exhibitor Service Kit and Exhibitor Resources Center:
- Standard (Inline/Corner/Peninsula): Max height 8 ft; only 1 display level; hanging signs not permitted.
- Perimeter: Max height 12 ft; only 1 display level; hanging signs not permitted.
- Island: Max height 20 ft; may have more than one display level (pending Fire Marshal approval); hanging signs permitted up to 20 ft.
Exhibitors receive an allotment of 5 complimentary badges per 10'x10' (100 sq. ft.) of booth space:
- 1 In-Person / Full Conference badge
- 4 Expo Hall Only badges
Additional Expo Hall Only badges may be purchased through the Maritz Exhibitor registration portal.
Shipping information can be found in the Quick Facts section of the Exhibitor Service Kit. You may use Levy Transportation or a common carrier such as UPS or FedEx. You have two options: ship to the Levy Advance Warehouse, or ship directly to show site.
Note: It is highly recommended to use Levy for shipping freight. If you choose a common carrier, AAPM will not be able to assist in the case of lost freight.
Freight material handling (or "drayage") is the moving of exhibit materials from one location to another. Whether shipped to the advance warehouse or directly to show site, all materials must be delivered to your booth. This is an exclusive service and includes:
- Accepting exhibit materials at the warehouse or show site
- Delivering materials to your exhibit space
- Storing empty containers during the show
- Returning empty containers at the close of the show
- Picking up and returning packaged materials to the dock
- Loading materials onto your carrier of choice
Material handling charges are based on labor rates, facility dock access, and the show schedule.
Exhibitors may hand carry their own materials provided they can be carried by one person in one trip, without the use of dollies, hand trucks, or any other equipment. Larger items must adhere to union rules. Levy is the exclusive provider of material handling.
At the Greater Columbus Convention Center, moving freight through the facility's lobbies is limited to hand-carried items. Dollies, flatbeds, and mechanical movers are prohibited.
Move-in begins on Thursday, July 22 at 8:00 AM. Move-out begins on Tuesday, July 27 at 5:00 PM. Please refer to the AAPM Exhibit Hall Schedule and Quick Facts in the Exhibitor Service Kit for the full schedule.
Exhibitors are reminded that it is against AAPM Rules & Regulations to move out any display equipment or materials before the published move-out times. Out of respect for attendees and fellow exhibitors, please do not pack up your booth prior to 5:00 PM on Tuesday, July 27. All displays must be completely removed from the exhibit hall by 5:00 PM on Wednesday, July 28. Please plan travel arrangements accordingly.
AAPM strongly discourages setting up on Sunday morning, with the exception of final booth preparations. Exhibitors may access the show floor beginning at 7:00 AM on Sunday, July 25, to finish any final preparations. Booths must be set by 9:00 AM.
Exhibitors who need to work late for setup should email AnnualMeeting@aapm.org so security can be notified. Exhibitors must remain working in their booths, as wandering in the exhibit hall is not permitted. All members of your team as well as any EACs working in your booth must have security wristbands and/or exhibitor badges.
Exhibitors can enter the hall beginning at 7:00 AM each show day. Please do not schedule meetings with attendees prior to or after official daily show hours. Attendee badges do not grant early access, nor can attendees enter the show floor after show hours.
Hotel reservations can be made within the registration system. Exhibitors will receive a unique link and log-in information to access.
Important: Fraudulent companies may present themselves as official AAPM partners and offer rooms that are not guaranteed or available. If you are contacted by anyone other than Maritz Global Events or AAPM, please let us know immediately.
AAPM no longer offers a pre-meeting mailing list.
Lead retrieval is offered through our official registration vendor, Maritz Global Events. Information regarding lead retrieval can be found in the Facility & Other Contractors section of the Exhibitor Service Kit, or through the Maritz Global Events registration portal in your Exhibitor Dashboard in ExpoCAD.
There is no public Wi-Fi service in the exhibit hall at the Greater Columbus Convention Center. Exhibitors who require Wi-Fi in their booths must order internet service in advance or on-site through the exclusive provider. Free public Wi-Fi is available only in the public spaces (lobbies) of the convention center.
Several independently operated parking facilities are located within the Greater Columbus Convention Center complex. These lots operate 24 hours a day, 7 days a week on a first-come, first-served basis. For more information visit columbusconventions.com.
An Official Vendor List can be found in the Exhibitor Resources Center. Names, email addresses, fax numbers, and phone numbers are provided for AAPM staff, Levy, and all official contractors and service providers.
