Committee Meetings


AAPM members are invited to take part in committee, subcommittee, working group, and task group meetings held throughout the Annual Meeting week. These meetings offer a great opportunity to see AAPM’s volunteer community in action, learn how decisions are made, and discover where your interests and expertise might fit in future volunteer roles.

In accordance with AAPM Rule 3.3.2, any member may attend any meeting, except for Executive Committee meetings and any portions designated as executive sessions.

What to Expect at Committee Meetings

Eligibility Who Can Attend

Any AAPM member may attend meetings of councils, committees, subcommittees, working groups, and task groups. Executive Committee meetings and any portions designated as executive sessions are closed to observers.

Before You Go Arrival & Check-In
  • Plan to arrive 5–10 minutes early.
  • Wear your Annual Meeting badge visibly.
  • Some meetings may include a brief sign-in for attendees and observers.
Getting Settled Seating & Introductions

Observers are welcome to sit in the gallery area. If appropriate, introduce yourself to the chair or staff liaison before the meeting begins.

During the Meeting Participation & Etiquette
  • Please allow voting members to conduct business.
  • If public comment is invited, speak when recognized by the chair and keep remarks concise and on-topic.
  • Silence devices or use headphones; avoid side conversations.
Information Sharing Materials & Recording

Some materials may be shared on-screen or posted afterward; not all documents are distributed to observers. Recording (audio/video) and photography are not permitted unless the chair explicitly authorizes it.

Closed Segments Executive Sessions

If a portion of the meeting moves into executive session, observers will be asked to step out for that segment and may return when the open session resumes.

Professionalism Courtesy & Conduct

Treat all participants with professionalism and respect. AAPM’s Code of Conduct applies to all meeting spaces.

If you need accommodations or have questions in advance, contact the staff liaison listed with the meeting or visit the registration/help desk on site.
